Applications that never arrived, parents left wondering, promo codes that failed. How we rebuilt ProEd's enrolment journey before peak season.

Every application your website loses is a student who may enrol somewhere else. When ProEd's enrolment forms started failing just before peak season, it stopped being a tech problem and became a revenue problem.
Here's what was going wrong, how we fixed it, and how to tell whether your own online enrolment system has the same gaps.
ProEd runs career-focused summer programmes for students aged 13 to 18 at Imperial College London. Students and parents apply from around the world, often months ahead, so every application needs to be captured and answered quickly.
On the old site, form submissions didn't reliably reach the admissions team, and applicants received no confirmation, so parents couldn't tell whether they'd applied at all. Promo codes promoted in campaigns failed at checkout, at the exact moment families were deciding to commit. And every new programme page needed a developer, which slowed launches.
If two or more sound familiar, test your form today.
We replaced the old WordPress site with a custom-built platform designed around one rule: every application is captured, confirmed and in the CRM.

ProEd wanted to offer several plans per programme, such as a standard and a premium option. Tiered pricing can lift revenue, but only if parents understand it at a glance. Three principles guided the build.
ProEd went into peak season with an enrolment journey it can trust.

Common causes include a form plugin that broke after an update, notification emails flagged as spam because the sending domain isn't authenticated with SPF, DKIM and DMARC, or notifications going to an inbox nobody checks. Send a test submission regularly, and log every submission in a CRM so nothing depends on email alone.
Yes. A confirmation email tells families their application arrived, sets expectations for what happens next and cuts "did you get my form?" calls. For programmes for under-18s, sending a copy to the parent or guardian keeps everyone informed.
You can embed a HubSpot form, or send each submission to HubSpot through its API from your own form handler. The API route keeps your site's design, maps each field to the right contact property, and lets one submission trigger the admissions email and the CRM record together.
