Free email signature generator
Build a professional email signature in a few minutes, then copy it straight into Gmail, Outlook or Apple Mail.
- Free, no sign-up
- Works in Gmail, Outlook and Apple Mail
- Nothing you type is stored
What to put in an email signature
A good signature tells the reader who you are and how to reach you in five or six lines. Anything more and it starts to compete with the email above it.
Name and job title
Tells the reader who they are dealing with and what you can decide.
Company name or logo
A logo has to be hosted online. Leave it out and the generator shows your company name in your accent colour instead.
Phone and email
Both become tap-to-call and tap-to-email links on a phone.
Website
Show a short, readable address such as yourcompany.com rather than a full link.
Two or three social links
Pick the profiles you keep up to date. A profile nobody has posted on for a year does more harm than none.
Legal line
Many companies have to show details such as their registered name and number on business emails. The rules vary by country, so check what applies to yours.
How to add your signature to Gmail, Outlook and Apple Mail
Gmail
- 01Press Copy signature in the generator.
- 02In Gmail, open Settings (the cog), then See all settings.
- 03On the General tab, scroll to Signature and press Create new.
- 04Paste into the box, then choose it under Signature defaults for new emails and replies.
- 05Press Save Changes at the bottom of the page, then send yourself a test email.
Outlook
In Outlook on the web and the new Outlook for Windows, open Settings, then Accounts, then Signatures. Add a new signature, paste, choose when to use it, and save. In classic Outlook for Windows it is under File, Options, Mail, Signatures.
Apple Mail
Open Mail, then Settings, then Signatures. Pick your account, add a signature, untick “Always match my default message font” and paste.
Email signature tips for every inbox
Keep it to text and one logo.
A signature made of a single image vanishes when an email app blocks images, and some do until the reader allows them.
Host your logo, never attach it.
An attached logo arrives as a paperclip on every email you send.
Size the logo between 100 and 200 pixels wide.
Use a file about twice that width so it stays sharp on high-resolution screens. The generator sets the display size for you.
Use one accent colour.
Match your brand's main colour and let everything else stay black and grey.
Test before you set it as your default.
Send yourself an email and open it on a phone and a desktop.
Frequently asked questions
Is the email signature generator free?
Yes. Use it as often as you like, with no account and no sign-up.
Do you store the details I type in?
No. The signature is built in your browser and nothing you type is sent to Lunova or saved. Close the tab and it is gone, so keep a note of your details if you want to change them later.
Which email apps does it work with?
Gmail, Outlook on the web, Windows and Mac, Apple Mail, and most apps that accept a pasted signature. It is built from simple tables and inline styles, the format email apps handle most reliably.
Why is my logo not showing?
Email apps only show images hosted online. Upload your logo to your website or another public host, paste its address into Logo URL and wait for the “Logo found” message under the field. Some apps also hold back images until the reader allows them.
What size should my logo be?
Show it between 100 and 200 pixels wide, from a file about twice that width so it stays sharp on high-resolution screens. Set the width in the generator rather than resizing the file.
What goes in the legal line?
Any details your company has to show on business emails, such as its registered name, company number or registered address. The rules vary by country, so check with your local company registry. Leave it empty if nothing applies.
Can I remove the Signature by Lunova link?
Yes. Untick it under Small print before you copy. It is on by default because it is how other people find the tool.
Can I use it for my whole team?
Yes. Fill it in once per person with the same logo, website and accent colour, and every signature will match.
